JOB OPPORTUNITY – OFFICE MANAGER

The ACLU of North Carolina seeks a knowledgeable, hard-working, friendly, detail-oriented individual committed to the preservation of Americans’ civil liberties to serve as our full-time Office Manager under the supervision of the Executive Director. The Office Manager will work out of our office in Raleigh and will be responsible for performing general management, accounting, and administrative duties for the ACLU of North Carolina under the supervision of the Executive Director and in cooperation with other staff and the Board of Directors.

The ACLU of North Carolina is the state affiliate of the national American Civil Liberties Union. We are a statewide nonprofit, nonpartisan organization dedicated to the preservation of individual liberty guaranteed in the Bill of Rights and other provisions of the US Constitution, as well as similar provisions in the North Carolina Constitution and various federal and state civil rights laws.

Responsibilities:
·Answer and route all incoming calls.
·Check voicemail at least twice a day and respond or route messages appropriately.
·Move office furniture, equipment, and boxes, using office safety procedures.
·Coordinate mailings, monitor reserves in bulk mail account, and follow up with vendors to be sure mailings are processed in a timely fashion.
·Provide clerical support to staff, as needed.
·Review requests for legal assistance and deliver to paralegal for processing.
·Zealously maintain confidentiality of intake files and donor files.
·Greet and route all visitors.
·Pick up, drop off, and route mail and packages on a daily basis.
·Inventory, order, and stock all office, kitchen, bathroom and equipment supplies and maintain adequate supply of ACLU-NC/LF forms.
·Operate and maintain office equipment such as copier, postage meter, fax machine, printers, phones and voicemail, etc. and maintain user's codes on that equipment as appropriate.
·Manage all Information Technology systems: Maintain all staff and volunteer workstations including upgrading software and hardware as needed, troubleshooting and configuring for end users, and general day-to-day maintenance of computer network, computer server, internet connections, and databases. Regularly back up database and secure off-site storage. Coordinate with IT consultants on higher order projects. Administer users and content for the ACLU intranet.
·Maintain affiliate website, blog and social networking sites.
·Help maintain tidy, professional appearance of physical office space and coordinate office recycling.
·Help implement office safety and security procedures.
·Coordinate secure off-site storage of office files and equipment.
·Maintain up-to-date Board lists, chapter lists, membership database, media contact list, volunteer lists, and other management files.
·Assist in membership recruitment and retention procedures.
·Assist with production and distribution of quarterly newsletter and semimonthly electronic newsletters.
·Disseminate press releases to statewide and national media outlets.
·Maintain archives of press releases, publications and newsletters.
·Coordinate Board and committee meetings at the direction of the Executive Director.
·Coordinate and attend special events and public forums at the direction of the Executive Director.
·Serve as liaison between ACLU-NC local and student chapters and the state affiliate office, providing chapters with publications and materials as requested (if available).
·Manage all bank accounts, accounts payable, basic bookkeeping, bank deposits and transfers.
·Complete required reports and paperwork for organizations and governments, as needed.
·Supervise all equipment purchasing and maintenance, including contracted IT maintenance.
·Maintain financial files, membership and donor database.
·Perform other errands and duties as assigned by the Executive Director.

Qualifications:
·Associate’s Degree or Bachelor’s Degree (preferably in Accounting or Business Administration)
·Extensive office management experience, preferably in a non-profit environment
·Familiarity with office technology, including MS Office, WordPerfect, MS Word, Excel, Access, PowerPoint, database, HTML, and web page experience is desirable
·Ability to administer and manage all accounting systems, including general ledger entries, financial reports, and reconciliation with national organization
·Proficiency in QuickBooks
·Excellent organizational, administrative, oral, written and interpersonal skills
·Meticulous attention to detail
·Strong interpersonal and problem-solving skills
·Strong commitment to civil rights and civil liberties
·Ability to work well with and respond to multiple staff people
·Knowledge of computer hardware, IT, and network systems
·Ability to work independently requiring little or no supervision
·Positive attitude, friendly disposition, team player
·Sensitivity to and appreciation of cultural differences in multicultural workforce

Compensation:
Salary range $30,000 - $35,000, depending on experience and qualifications; Excellent benefits including: paid vacation and sick leave, paid holidays, health and dental insurance, life and disability coverage, retirement plan contribution and match.
